About the Role
The Executive Assistant provides administrative support to the ICBD CEO, ensuring smooth operations, efficient communication, and organization. This position manages calendar scheduling, coordinates meetings, handles confidential information, and serves as a liaison with stakeholders.
The principal functions of the position identified shall not be considered as a complete description of all the work requirements and expectations that may be inherent in the position. Key Responsibilities
- Manages the CEO’s schedule, appointments, and travel arrangements.

- Serves as the primary contact for internal and external communications for the CEO team, managing phone calls, emails, and mail.

- Prepares and distributes correspondence, reports, and presentations, while tracking the Office of the CEO priorities and deadlines.

- Coordinates meetings, including agendas, takes minutes, and schedules follow-ups.

- Assist with special projects, research, and data analysis assigned by the ICBD CEO.

- Oversee office operations and maintain a professional environment, while supporting operational needs and maintenance.

- High School Diploma, an Associate's or Bachelor's degree in business administration or a related field

- 10+ years of experience in executive or administrative support, preferably in a healthcare or nonprofit environment.

- Excellent verbal and written communication skills.

- Proficiency in Microsoft Office Suite and the ability to learn new software systems.

- Strong organizational skills and attention to detail.

- Ability to manage multiple tasks and prioritize effectively.

- Solid interpersonal skills and professional demeanor.

- Experience handling confidential and sensitive information with discretion.

- Ability to adapt to changing priorities in a fast-paced environment.

- Ability to pass a background check, motor vehicle record, and drug screen.

- A valid driver’s license and an acceptable driving history.
