PeopleCert is looking for a Procurement Assistant (General, IT & Facilities) to join the Procurement team. The role supports the efficient execution of procurement activities across a broad range of categories, ensuring timely purchasing, accurate documentation, and effective coordination with suppliers and internal stakeholders in a fast-paced environment.
As a Procurement Assistant, your tasks will include the following:
- Support end-to-end procurement processes, including sourcing, supplier selection, contract coordination, and supplier performance tracking, across a wide range of categories such as general procurement (e.g. corporate vehicles, insurance, professional services including HR, Legal, Finance, Accounting, marketing and communication services, consultancy, office supplies), as well as IT (hardware, software, licenses) and facilities (maintenance, cleaning, utilities, office equipment).

- Assist in sourcing activities by identifying suitable suppliers, collecting quotations, comparing offers, and preparing evaluation summaries.

- Prepare and process purchase requests, purchase orders, and related documentation in accordance with company procurement policies.

- Coordinate with suppliers and service providers to ensure order confirmation, timely delivery, installation (where applicable), and resolution of operational issues.

- Maintain and update supplier databases, contracts, and procurement records to ensure accuracy and compliance.

- Track orders, deliveries, invoices, and payments in coordination with the Finance team.

- Support contract and license tracking, including renewals for IT software and agreements for general and facilities services.

- Assist in monitoring supplier performance and resolving day-to-day procurement and service-related issues.

- Contribute to cost control and support budget tracking across procurement categories.

- Ensure all procurement activities comply with internal policies, approval workflows, and ethical sourcing standards.

- Collaborate with internal stakeholders to support business needs and ensure smooth procurement operations.

What we look for:
- Bachelor’s degree (or currently studying towards) in Business Administration, Supply Chain Management, Procurement, or a related field.

- 1–3 years of experience in procurement, purchasing, or administrative roles (internships included).

- Basic understanding of procurement processes and supplier management.

- Familiarity with RFx processes (RFI, RFP, RFQ) is considered an advantage.

- Exposure to procurement systems or e-sourcing tools is a plus.

- Strong organizational skills with attention to detail and accuracy.

- Good communication and interpersonal skills for effective collaboration with suppliers and stakeholders.

- Exceptional command of the English language (native-like fluency or C2 level certification preferred). Certifications such as LanguageCert C2 LTE or C2 IESOL are a plus.

- Familiarity with emerging technologies including AI, machine learning, and applications such as ChatGPT in procurement contexts.

- Advanced computer literacy is required. ECDL Advance level certification is desirable.

- Interest in digital tools and emerging technologies (e.g. AI, automation) in procurement is considered an advantage.

- Team-oriented, proactive, and able to work in a fast-paced, deadline-driven environment.

Working on Home Office (HO) Secure English Language Tests (SELTs)
Any person who is engaged by PeopleCert to work on the SELT service must undergo a Background Check (the results of which must be acceptable to PeopleCert and the HO) prior to commencing their SELT duties. All SELT personnel will be required to complete a declaration (provided by PeopleCert) where the existence of any criminal record and/or bankruptcy must be declared.
If working on the SELT service in the UK, background checks will include:
- A basic or enhanced Disclosure Barring Service (DBS) check

- Right to Work in the UK check (including nationality, identity and place of residence)

- HO security check (Baseline Personnel Security Standard (BPSS) or Counter Terrorist Check (CTC)

- Financial background check

- Employment reference check.

- If working on the SELT service anywhere in the world (outside of the UK) personnel will undergo background checks that are equivalent to those stated for the UK.

In addition, if personnel are required to speak to SELT candidates they must be appropriately skilled in English language and, where SELT services are provided anywhere in the world (outside of the UK), the official language of the relevant country.
